When you use our contact form, subscribe to our newsletter, register for an event, or correspond with us, we may collect:

  • Your organisation or affiliation (if provided)
  • Your area of interest or type of support requested

  • Technical data such as browser type and IP address (for website security only)

We do not collect sensitive personal data (such as race, religion, health, or legal status) through our website forms. If you share such information in a message, it will be handled with the highest level of confidentiality.

2. How We Use Your Information

We use the information you provide to:

  • Respond to your enquiry or request
  • Send you newsletters or updates you have subscribed to
  • Process event registrations
  • Manage volunteer or partnership applications
  • Improve our website and communications

We do not sell, rent, or share your personal data with third parties for marketing purposes.

3. Data Retention

We retain your personal data only as long as necessary to fulfil the purpose for which it was collected, or as required by law. Contact form submissions are retained for up to 24 months. Newsletter subscribers can unsubscribe at any time and their data is removed within 30 days.

4. Third-Party Data Processors

We use the following third-party services that may process your data on our behalf. All processors are engaged under appropriate data processing agreements or equivalent safeguards:

  • Netlify, Inc. (USA) — Our website is hosted on Netlify's infrastructure. Contact forms and event registration forms submitted on this site are processed by Netlify. Data is transferred to the United States under Netlify's standard terms. See netlify.com/privacy.
  • Google LLC (USA) — Google Fonts — We load typefaces from Google's font servers (fonts.googleapis.com). Each page load causes your IP address to be sent to Google. We intend to migrate to self-hosted fonts to eliminate this transfer. See Google's Privacy Policy and Google Fonts Privacy FAQ.
  • Unsplash / Fastly CDN — Some images on this website are served from images.unsplash.com, which is delivered via Fastly's content delivery network. This causes your IP address to be sent to Fastly/Unsplash infrastructure on page load. See Unsplash's Privacy Policy.

We do not use Google Analytics, Facebook Pixel, advertising networks, or any other behavioural tracking or profiling services on this website.

5. Your Rights

You have the right to access, correct, or request deletion of your personal data held by Migration Pulse Hub. To exercise these rights, contact us at info@migrationpulsehub.org. If you are based in the European Union or the United Kingdom, you also have the right to lodge a complaint with your local data protection authority.

Migration Pulse Hub takes particular care with sensitive communications. Because our work involves migrants, refugees, and displaced persons who may be in vulnerable situations, we apply strict data protection standards to all communications we receive.

Sensitive communications: If you share information about your legal status, safety situation, or personal circumstances, this information will be treated as strictly confidential, shared only with the staff member directly assisting you, and never published or disclosed without your explicit written consent.

We do not use analytics tools, tracking pixels, or behavioural advertising. Third-party infrastructure services (Netlify hosting, Google Fonts, and Unsplash image delivery) may process your IP address as a technical necessity — see Section 4 for details. We recommend using our official email address for sensitive communications rather than the contact form.

Reporting Concerns

If you have a safeguarding concern related to our work or staff, report it to our designated Safeguarding Focal Point at safeguarding@migrationpulsehub.org. This is a confidential channel monitored separately from our general inbox. All reports are treated with strict confidentiality.
